Privacy Policy

Information on the processing of personal data pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 (hereinafter "GDPR") and Italian Legislative Decree 196/2003 (Personal Data Protection Code), as amended by Legislative Decree 101/2018.

This is a courtesy translation. In case of any discrepancy, the Italian version prevails.

1) Data controller

The data controller is the Associazione Mariologica Interdisciplinare Italiana (AMI), Viale XXX Aprile 6, Roma, Italy (hereinafter "AMI" or the "Association"), a non-profit association established under Article 36 of the Italian Civil Code.

For any request concerning the processing of personal data, please write to info@assoami.it.

2) What data we process

Browsing data: the IT systems running the website collect, in the normal course of operation, certain technical data (for example IP address, date and time of the request, page visited, browser type) recorded in the server logs for security and proper operation.

Contact form: name, email address, subject and text of the message you choose to send us.

Newsletter: first name, last name, email address, preferred language and, optionally, the role you indicate. Subscription is completed only after confirmation via the link sent by email (double opt-in).

Event registration: full name, email address, institution, any notes and answers to additional questions set for the specific event, as well as the IP address from which the registration was sent (kept for security and abuse prevention).

Requests to join the Association: the data you send us through the contact form or by email, needed to assess the application for membership in accordance with the Statute.

We do not request or process special categories of data (Article 9 GDPR) or judicial data through the website. Please do not include them in your messages.

3) Purposes and legal bases

Replying to requests sent through the contact form or by email: pre-contractual measures or the Association's legitimate interest in replying to those who contact it (Article 6(1)(b) and 6(1)(f) GDPR).

Managing registration for and participation in conferences, seminars and study days, and sending related communications (confirmation, reminders, waiting list): performance of the requested service (Article 6(1)(b) GDPR).

Sending the AMI newsletter: the data subject's consent (Article 6(1)(a) GDPR), which may be withdrawn at any time via the unsubscribe link in every email.

Managing the membership relationship (admission, fees, communications to members, sending the journal): performance of the membership relationship and compliance with legal obligations, including tax and accounting (Article 6(1)(b) and 6(1)(c) GDPR).

Ensuring the security of the website and preventing abuse (for example automated form submissions): the controller's legitimate interest (Article 6(1)(f) GDPR).

4) Processing methods and recipients

Data are processed electronically, with appropriate technical and organisational measures to protect them against unauthorised access, loss or disclosure, and are accessible only to persons authorised by the Association (office staff, Board of directors, authorised collaborators).

Data may be processed on AMI's behalf, as data processors, by service providers strictly necessary for the website to work: the hosting provider and the email delivery provider (an SMTP server or a sending platform such as Brevo, depending on configuration). An up-to-date list of processors is available on request.

Data are not disseminated, sold or transferred to third parties for commercial purposes, and are not used for automated decision-making or profiling.

Some articles may contain videos embedded from YouTube (in "privacy-enhanced mode", youtube-nocookie.com) or Vimeo: when you view that content, the video provider may collect browsing data under its own privacy policy.

Where a provider processes data outside the European Economic Area, the transfer takes place on the basis of the safeguards provided for in Articles 44 et seq. GDPR (for example adequacy decisions or standard contractual clauses).

5) Retention period

Requests sent through the website forms are kept for as long as needed to handle them and deleted no later than 24 months after they have been dealt with.

Newsletter subscriptions not confirmed within 7 days are deleted; subscribers' data are kept until consent is withdrawn (unsubscription).

Event registrations are deleted 12 months after the date of the event; the IP address associated with a registration is deleted after 30 days.

Data relating to the membership relationship are kept for the duration of membership and thereafter for the period required by law (for example for accounting and tax purposes).

6) Data subject rights

You may at any time exercise the rights provided for in Articles 15-22 GDPR: access, rectification, erasure, restriction of processing, portability and objection, as well as withdrawal of any consent given, without affecting the lawfulness of processing based on consent before its withdrawal.

To exercise your rights, write to info@assoami.it. We will reply without undue delay and in any case within one month of the request.

You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali, www.garanteprivacy.it), Piazza Venezia 11, 00187 Rome.

7) Provision of data

Providing the data marked as mandatory in the forms is necessary to reply to your request or to register you for an event or the newsletter; otherwise we will not be able to follow up on your request. Providing optional data is voluntary.

9) Updates

This notice may be updated, including following changes in legislation or in the services offered by the website. Last updated: October 2026.
